Terms & Conditions

For Tour Operations:

1. Definitions

  • “Company” refers to the Tour Operator organising and selling the tour.
  • “Client/Passenger” refers to the person booking or participating in the tour.
  • “Tour” refers to any travel arrangement, package, service, or product offered by the Company.
  • “Supplier” refers to third‑party providers including airlines, hotels, transport companies, guides, and activity operators.

2. Booking & Confirmation

  • A booking is confirmed only upon receipt of the required deposit and written confirmation from the Company.
  • The Client must provide accurate personal details, passport information, and any special requirements at the time of booking.
  • The Company reserves the right to decline a booking at its discretion.

3. Payments

  • A non‑refundable deposit £200.00 per person is required at the time of booking.
  • Full payment must be received by the Company no later than 6 weeks prior to departure.
  • Bookings made after the final payment deadline must be paid in full immediately.
  • Failure to make timely payment may result in automatic cancellation of the booking.

4. Prices & Inclusions

  • Prices are quoted per person and include only the services specified in the itinerary or invoice.
  • Prices are subject to change due to currency fluctuations, tax changes, supplier increases, or unforeseen circumstances.
  • Any additional services requested by the Client will be charged separately.

5. Amendments by the Client

  • Any amendment requested after booking confirmation may incur an administrative fee plus any supplier charges.
  • Name changes, date changes, or itinerary modifications are subject to availability and supplier approval.

6. Cancellations by the Client

Cancellation charges for most of the Tours apply as follows:

  • More than 45 days before departure: Deposit forfeited
  • 45 days – 14 days: 10% of total tour cost
  • 13 Days – 5 days before departure:  25% of total tour cost
  • 5 days till 0 days before departure No refunds for unused services, no‑shows, or early departures.
  • For all cancellations an administration fee of £35.00 per person will be charged.
  • Certain cancellations charges may differ depending on the supplier’s terms & Conditions. 

7. Cancellations or Changes by the Company

  • The Company reserves the right to cancel or modify a tour due to force majeure, or circumstances beyond its control.
  • If cancellation occurs, the Client will be offered:
    • A full refund of monies paid, or
    • An alternative tour of similar value.
  • The Company is not liable for additional expenses incurred by the Client (e.g., visas, insurance, personal purchases).

8. Travel Documents & Requirements

  • Clients are responsible for ensuring they hold valid passports, visas, health certificates, and any other required documentation.
  • The Company is not liable for losses due to incomplete or incorrect travel documents.

9. Travel Insurance

  • Comprehensive travel insurance is strongly recommended and may be mandatory for certain tours.
  • Insurance should cover medical expenses, cancellations, baggage loss, and personal liability.

10. Health, Fitness & Special Requests

  • Clients must ensure they are medically fit to travel.
  • Any medical conditions, mobility issues, or dietary requirements must be disclosed at the time of booking.
  • Special requests are not guaranteed but will be passed on to suppliers.

11. Responsibilities & Liability

  • The Company acts as an agent for independent suppliers and is not liable for acts, omissions, or failures of these suppliers.
  • The Company is not responsible for:
    • Delays, cancellations, or changes caused by airlines or transport providers
    • Loss, damage, or theft of personal belongings
    • Injuries, illness, or accidents occurring during the tour
  • Liability is limited to the amount paid for the tour.

12. Force Majeure

he Company is not liable for failure to perform obligations due to events beyond its control, including but not limited to:

  • Natural disasters
  • Political unrest
  • Strikes
  • Epidemics/pandemics
  • Government restrictions
  • Weather conditions

No refunds or compensation will be provided for force majeure events; however, the Company will assist in rebooking where possible.

13. Behaviour & Conduct

  • Clients must behave respectfully and comply with local laws, customs, and supplier rules.
  • The Company reserves the right to remove any Client whose behaviour is disruptive, unsafe, or offensive, without refund.

14. Complaints

  • Any complaint must be reported to the tour leader or supplier immediately to allow corrective action.
  • Formal complaints must be submitted in writing within 7 days of tour completion.

15. Data Protection

  • Personal information provided by the Client will be used solely for booking, operational, and legal purposes.
  • The Company will not share personal data with third parties except as required to fulfil the booking.

16. Governing Law

  • These Terms & Conditions are governed by the laws of United Kingdom.
  • Any disputes shall be resolved in the courts of that jurisdiction.
