Booking Terms and Conditions & Other Important Information

RESERVATIONS AND PAYMENTS
• To secure your booking, all tour reservations must be pre-paid. A non-refundable deposit of 30 percent of the total tour cost is required upon confirmation. This deposit is calculated based on the number of rooms and room types reserved by the operator on your behalf.

• Once we receive your deposit, we will begin the process of reserving hotels and services. We will provide written confirmations of hotels and services as they become available.

• The remaining balance must be paid 6 weeks prior to your arrival.

• Failure to make payments within the specified deadline may result in the cancellation of all bookings made on your behalf. Additionally, we reserve the right to impose cancellation charges for overdue payments.

• Payments must be made in the currency quoted. If you wish to make payments in another currency, we retain the right to determine the conversion rate.

• It is your responsibility to carefully review the confirmation invoice and all other documents. Please notify RED Tours immediately of any errors or inaccuracies, as changes may not be possible later.

IF YOU CANCEL YOUR HOLIDAY/BOOKING
If you decide to cancel your holiday, please inform us in writing. Cancellation incurs a fee, and we reserve the right to retain the non-refundable deposit to cover cancellation charges set by our suppliers. Cancellation charges also apply for medical reasons.

Cancellation Notice for Flight Holidays:
• More than 42 days before departure: 40% of total holiday cost
• 41 – 30 days before departure: 75% of total holiday cost
• 29 days or less before departure: 100% of total holiday cost

• Note: Supplier and airline-specific cancellation policies may override the above policy.

• The cancellation charges represent a percentage of the total holiday price, excluding insurance premiums or additional charges (e.g., visa fees, courier, postal).

• If your insurance policy covers the reason for cancellation, you may be able to claim these charges from your insurer.

• In cases of illness or absenteeism during the tour, no refunds can be provided, including for missed meals or sightseeing.

OUR RIGHT OF REFUSAL
We reserve the right to refuse bookings or terminate holidays under the following circumstances:
(a) If payments are not received according to the schedule.
(b) If you fail to disclose relevant medical conditions or disabilities requiring special assistance.
(c) If, during the holiday, we determine that you cannot cope with its demands.
(d) If your behaviour causes distress, danger, or annoyance to other customers.
No refunds will be granted, and we will not be liable for compensation in case of termination.

OUR RESPONSIBILITY TO YOU
• We are responsible for providing the services and accommodations as described in this itinerary, except in cases where services cannot be supplied, or the itinerary must change due to factors beyond our control. In such cases, we will strive to offer comparable services and accommodations, and no refund will be issued.

• This itinerary constitutes the entire agreement between you and us. We and our cooperating organisations are not liable for cancellations, delays, diversions, equipment substitutions, or any acts or omissions of hotels, transportation companies, or other service providers, including any resulting consequences. We are not responsible for injury, illness, death, or any damages or claims arising from loss, negligence, or delay caused by individuals not directly employed by us.

• Baggage and personal belongings are your responsibility and are at your own risk. We recommend baggage insurance. Suppliers of services on the tour are independent contractors, not our agents or employees.

• If you occupy a motor coach seat with a safety belt, neither we nor our cooperating organisations are liable for injuries, illnesses, or damages resulting from accidents if the safety belt is not worn at the time of the incident.

• Transportation companies are not responsible for events occurring when passengers are not on board.

• Our liability for your holiday, including any loss, damage, or injury, is limited by our terms and conditions. Liability for acts and omissions of our suppliers and employees acting on our behalf is also limited.

• Matters arising are subject to English law.

• We are not liable for the loss of passports/travel documents, personal injury, delay, sickness, accident, death, consequential loss, damage, or theft-related issues beyond our control.

• We will strive to ensure the advertised itinerary elements are fulfilled by our suppliers, but we are not liable for services provided by third-party suppliers or their acts and omissions.

Passport & Visa
It is your responsibility to ensure you possess valid passports and visas for travel to the booked destination. RED Tours is not responsible for passengers' passport and visa matters.

Damage or Loss of Property
You are responsible for paying for any damage or loss caused by you during the tour, directly to the service provider. Failure to do so may result in claims and legal actions against us. We do not retrieve lost property or belongings from third-party suppliers. Contact the service provider directly for retrieval, payment, and shipping. Unclaimed items in our possession for more than seven days may be disposed of or donated.

Travel Documents
Travel documents will be sent to you approximately 14 days before departure, upon receipt of full payment. Notify us if you are leaving earlier, and we will endeavour to send the documents sooner.

Other Conditions
You must comply with service provider terms, country or governmental requirements, or bear associated costs and losses. By signing this agreement, you confirm your acceptance of these terms and conditions and your authority to act on behalf of yourself, your company, or your organization. Any variations to these terms must be made in writing by an authorized officer of the company.

For Europamundo bookings, refer to their specific Terms and Conditions including cancellation terms and conditions on www.europamundo.com. In addition, for any cancellation or changes there will be a £30.00 management fee.
